Administrative Assistant, Student Ministry
Full Time, 40 hours/week

Wheaton Bible Church is seeking a full time Administrative Assistant for our Student Ministry. Student Ministry at Wheaton Bible Church exists to challenge and encourage students to be obedient to God’s command to be a disciple who makes disciples and fulfill God’s mission to love Him, grow together, and reach the world.  By actively and creatively partnering with parents in the discipleship of their teen, we are committed to provide our students with opportunities to grow in their faith through discipleship focused communities.  Our aim is for our students to then take the Gospel to their homes, school campuses, neighborhoods and out to the world.

Responsibilities

  1. Administration - Collaborate with Student Ministry team to handle all administrative aspects of the department. This includes the calendar, database updates, financial record keeping, and processing volunteer applications.
  2. First Voice - Answer calls and greet people; the first contact for people when they call the Student Ministry office, assisting with questions, connecting them with pastoral staff, etc.
  3. Communication - Work with the Student Ministry team to plan and carry out key ministry communication. This includes communication by phone, print, email, and the web.
  4. Event Planning and Execution - Responsible for booking events, preparing for events, communicating with parents and students, and occasionally providing on site leadership/support to student events. This includes financial tracking and record keeping.
  5. Assist human resources with child protection process, performing monthly audits, organizing files, tracking applications, updating database, performing background checks, etc.

Administrative Assistant, Connect Ministry
Part Time, 28 hours/week, occasional Sundays

Wheaton Bible Church is looking for an Administrative Assistant to support our Connect Ministry Department. Connect Ministry is a multifaceted department that includes the Welcome Process, the Front Door Ministry Teams, Evangelism, and the Volunteer Staff Initiative.

This position provides administrative support to the Director of Evangelism and Connect Ministry by handling correspondence, administrative duties and the coordination of volunteers.

Responsibilities:

  1. Welcome Process: Ensure guests receive a full welcome by collecting and processing the weekly Connect Cards, creating a weekly report and passing the information on to the appropriate ministry department for follow up. In addition, making sure the new comer receives a welcome packet, phone call and an invitation to the Begin class and eventually to the Belong membership class. 
  2. Front Door Ministry Team: Provide administrative support and encouragement to team leaders who oversee 300+ volunteers that help create a welcoming, safe, well-organized environment for WBC guests and attenders. Work with team leaders to keep team rosters, schedules and name tags updated. Write weekly e-mails. Assist with coordination of annual kick-off and appreciation dinners.  
  3. Evangelism: Provide administrative support to WBC ministry departments as they seek to train those in their ministries to share their faith and host outreach events. Produce new believer and recommitted believer report each quarter. Provide administrative support for the Alpha and Beyond Alpha courses.
  4. Volunteer Staff Initiative: Assist in connecting WBC attenders into meaningful places of service where they can use their spiritual gifts, hearts passion, abilities, personal style and experience for the Lord’s work. Maintain Volunteer Staff position descriptions, Serve as a liaison between Volunteer Staff and Ministry Connectors.

Bookstore Manager
Part Time, 28 hours/week – including a portion of most Sundays a month

Wheaton Bible Church is looking to hire a Manager for Chapters Bookstore. This position will direct the bookstore ministry to provide a variety of Christian resources for both our church attenders and the community; maximize sales and profits; assist church staff in procuring their print media and supplies needs; and serve customers in a high quality manner.

The Bookstore Manager provides leadership for the business development and daily management of Chapters and provides leadership of the volunteer staff. The Manager works in collaboration and cooperation with other WBC ministries and acts as liaison to the pastoral staff and ministry teams. The position requires a mature sensitivity to customers and the ability to see and fulfill the customer’s needs with appropriate resources. The Manager must understand retail business operations, have a service and people orientation, be willing to work flexible hours, and have a heart to serve the Lord. The Manager is responsible for the ministry budget.

Responsibilities

  1. Oversee the operational functions of the bookstore including development of policies and procedures, financial management, goal setting, planning and implementing marketing strategies, order processing, trouble shooting, customer service, industry relations, store maintenance and repair, and special events.
  2. Recruit, train and manage volunteers serving in the bookstore including training on the POS system, customer service, special ordering, etc. Supervise one part time, paid staff member.
  3. Manage the areas of accounting, receivables, payables, bookkeeping, end of the month and end of the year financial reports, advertising and marketing strategies.
  4. Oversee store merchandising, stock replenishing, receiving and processing freight. 
  5. Oversee the buying function including inventory control. Monitor inventory to assure shelves are well stocked, develop and place vendor work orders and special orders, and cooperate with ministries to provide product needs.  Work with the vendors for cost effective ordering.

Core Competencies

  • Agreement with the doctrinal beliefs and mission statement of Wheaton Bible Church as well as a passion for serving Jesus Christ. Regular attendance and participation at WBC.
  • Prior Christian Bookstore experience and/or current retail experience.  Working knowledge of Christian product base, i.e., books, Bibles, and gifts is a must.
  • Excellent people skills and communication skills and an understanding that the Bookstore is a ministry involving relationship building with customers, community, staff, and business partners.
  • Business skills to ensure the Bookstore is managed in a God-honoring way.
  • Effective leadership skills with the ability to recruit, train, motivate and develop volunteer staff.

Volunteer Coordinator, Puente del Pueblo
Part Time, 20 hours/week

Puente del Pueblo is an outreach of Wheaton Bible Church and Iglesia del Pueblo, that serves residents of West Chicago.  Through Puente, both our English and Spanish-speaking congregations express God's grace, love and justice through friendship and service with people in our neighborhood. Our goal is to work with the community to foster changes that benefit residents’ personal, family and community lives.  Puente does this through case management services for families, adult literacy programming and after school programming for children and youth.

The Volunteer Coordinator will engage our WBC/IdP congregations, as well as community partners, to increase participation at Puente del Pueblo at all levels.  This position will oversee and administer the volunteer process for Puente del Pueblo.

Responsibilities

  1. Recruit Volunteers for Puente del Pueblo.  Foster recruiting relationships within the church and with community partners.
  2. Oversee the application, orientation and placement of volunteers in accordance with WBC policy.
  3. Retain Volunteers for Puente del Pueblo.  Meet and respond to volunteer issues and care for them as appropriate. 
  4. Oversee Puente’s volunteer celebration events
  5. Issue volunteer reports, statistics, stories, etc.

Core Competencies

  • Bachelor’s degree in social services, education, church administration or a related field.
  • Excellent interpersonal, verbal and written communication skills.
  • Spanish proficiency strongly preferred.
  • Sensitivity to Hispanic/Anglo cultural difference and its impact on volunteer service.
  • Professional computer skills, especially Microsoft Office.
  • Strong Administration skills and/or Volunteer Management experience.
  • Commitment to holiness & developing your personal walk with God in order to model and lead others in faith.
  • A deep personal commitment to fulfilling the Great Commission.
