    Database Coordinator

    Wheaton Bible Church (WBC) is seeking a Database Coordinator to provide strategic and tactical support for the church’s databases, especially regarding database maintenance and integrity, information gathering, and statistical reporting. The person in this position works with each ministry in our church and must have a passion for our mission to love God, grow together, and reach the world.

    Responsibilities

    1. Oversee our various databases and database vendors, including Shelby, CCB, ServiceU, MailChimp, etc.
    2. Maintain database integrity and security; analyze data and develop reports for ministries.
    3. Serve as primary liaison between WBC database users and the software vendor, Church Community Builder.
    4. Coordinate information gathering, evaluation, integration, conversion, security, and implementation of new databases as needed.
    5. Work with the Communication Director to develop a plan for overseeing and coordinating all-church and individual ministry emails and mailings, including the coordination of bulk mailings.
    6. Work creatively with staff to meet the new and ongoing needs of WBC ministries, including the automation of key ministry processes.
    7. Provide database training, updates, and best practices to staff members and key volunteers.
    8. Document policy and procedures for ministry processes.
    9. Design and program additional reports and functions from APIs using PHP and SQL.
    10. Respond to staff and lay-leader questions, needs, and issues in a professional, timely manner.
    11. Work closely with the IT Manager to provide creative and efficient solutions to staff and volunteer needs as they arise.
    12. Participate in weekly staff prayer time.
    13. Performs other duties as assigned.

    Requirements

    1. Experience in system integration/ChMS usage and proficiency a must.
    2. Proven experience with ensuring data integrity/validation.
    3. Ability to run audits and reports on a scheduled basis.
    4. Expertise in MS Office Suite; proficiency with MS Excel required.
    5. Software evaluation experience a significant plus.
    6. Programming experience (especially in PHP and SQL) highly desired.
    7. Experience with using API’s a definite plus.
    8. Advanced knowledge of general PC hardware and software along with troubleshooting skills.

    Women's Ministry Administrative Assistant

    Wheaton Bible Church is seeking to hire an Administrative Assistant to provide administrative support to the Director of Discipleship, Women and Care and the Bible Study Staff Coordinator, and support to the Women’s Ministry Volunteer Coordinators.

    Responsibilities

    1. General Administrative Support
      • Phone and email correspondence, and scheduling meetings.
      • Logistical support for volunteer leaders, Shepherds, and other meetings (scheduling, room set up, hospitality, etc.)
      • Prepare weekly reimbursement requests and make weekly deposits for WM (dinner, childcare, etc.)
      • Order and organize equipment, materials and supplies as needed.
      • Maintain women’s ministry filing and organization of assigned storage spaces.
      • Generate reports from database for staff and coordinators as needed (attendance tracking, etc.)
      • Coordinate women’s ministry volunteers in the staff office.
    2. Administrative support for women’s Bible studies (Place 4 You, Precepts, Senior Women, involving 500+ Women)
      • Weekly and on-site support for morning and evening P4Y leadership meetings.
      • Upload weekly podcasts for P4Y teaching and other teachings as needed.
      • Provide additional support for women’s bible studies during kickoff seasons.
        1. Registration process: input and create group lists, attendance event setup, nametags, etc.
        2. Make room reservations, copy and prepare manuals and handouts, etc.
    3. Special event support (A Night Before Christmas, Retreat, A Morning With Him, Mom’s Together, etc.)
      • Set up and manage large online event registration processes.
      • Serve as liaison between volunteers and operations staff.
    4. Communication
      • Maintain communication with Women’s Volunteer Coordinators.
      • Serve as liaison for communication requests for WM staff and Volunteer Coordinators (write requests, follow up throughout process, etc.)
      • Maintain and update webpage to keep information current for women’s ministry.
    5. Performs other duties as assigned.

    After-School Elementary Teacher

    Wheaton Bible Church is seeking a part-time Elementary Teacher for the after-school program of Puente del Pueblo. Puente del Pueblo is an outreach of WBC and Iglesia del Pueblo in partnership with Outreach Community Ministries and is located on-site at apartment complexes in West Chicago. Puente services include case management, adult literacy, ESL tutoring, after school programs for elementary and junior high students and community events. This person hired for this position will serve the residents of Timber Lake Apartments at Wegner Elementary School.

    This position is responsible for building relationships with 15-20 students, and for academic tutoring, life skills instruction, and teaching Christian education. The elementary teacher will facilitate group work with students involving experiential learning, as well as plan and implement community service activities, communicate with parents, and coach volunteers. The teacher is also responsible for maintaining Puente’s standard of classroom behavior during program time.

    Qualified candidates will have a passion for working with elementary-age students, possess a bachelor’s degree in education, youth ministry or a related field, have previous classroom teaching experience, and have sensitivity to the needs of students from low-income, high-risk families and culturally diverse backgrounds. Bilingual in English and Spanish or Arabic is preferred.

    This academic year position is part-time at 20 hours per week, M-F 1:30-5:30 pm. The program runs from 2:45pm to 5:30pm M-F; additional scheduled time from 1:30-2:45 is for prep and meetings. Due to the highly relational nature of this position, chosen candidates will be asked to commit to the end of the academic year (early June).
